Roles & Permissions

LegionellaDossier gives you control over who can do what in your environment. Whether you’re conducting risk assessments, managing flushing regimes, or collaborating with on-site teams—there’s a role for every responsibility.


Roles in LegionellaDossier on building-level

Below is a complete list of the roles available on all of LegionellaDossier plans:
  • Risk Assessor
    The Risk Assessor is responsible for creating and updating the Legionella risk assessment and control scheme.
  • Admin
    Admins have wide-reaching access across the platform but cannot edit the risk assessment itself. They do have full access to user management and permission, can configure integrations (e.g., sensors, webhooks) and can manage task assignments and documents and everything else.
  • 1st On-site Responsible
    The primary contact for all on-site Legionella escalations and non-compliances. They can assign users to tasks, view and upload documents, receive notifications for unperformed tasks, update building settings and change the order of tasks
  • 2nd On-site Responsible
    The fallback contact if the 1st responsible does not respond. Has the same rights as the 1st on-site responsible person.
  • Add Flush
    Users with this role can manage vacancy situations by creating and managing “vacant” rooms or “infrequently used” assets.
  • Document
    Grants full control over document management. Let's you upload documents, edit and delete any document and organise files by location or asset.
  • Document Lite
    Provides limited document rights for individual users. Let's you upload documents and edit or delete only your own uploads.
  • Sample & Logbook
    Access to important water sample records and logbooks. View all lab sample results and all flushing logs, inspections, maintenance tasks etc.
  • Bulk Flushing
    Enables one-click signing off for high-volume flushing tasks and marks all flushing tasks as completed in one action.
  • Bulk Seal Check
    Like bulk flushing, but for checking seals on fire hoses.
  • QR-Codes
    Manage QR-code functionality in the LD-Control app. Add, edit, and remove QR codes and link codes to specific assets for scanning on-site.
  • Ad-hoc Assets
    Create assets on-the-fly in the mobile app. Add new taps, showers, or outlets during fieldwork. Ideal for unplanned inspections or updates. 
  • Sensors
    Manage IoT integrations like temperature or flow sensors. Assign sensors to assets, and review automated readings and alerts.

Roles in LegionellaDossier on task-level

On the task-level, there are additional roles that give organisations the ability to manage users and teams more freely:

Flushing & Temperature Checks

Role Description
Vacancy Reporter Can mark a room or tap point as vacant or infrequently used, which adjusts its flushing schedule accordingly.
1st Designated Flusher The primary person responsible for completing flushing and temperature tasks. They are the first in line to act.
2nd Designated Flusher A backup to the 1st flusher. Receives notifications if the 1st does not perform the task.
1st On-site Responsible Same as at building level: oversees execution, gets notified when tasks are not completed, and can assign users.
2nd On-site Responsible Escalated contact if the 1st on-site responsible does not respond; also manages task settings and escalation flow.
Inform About Non-compliance Automatically notified if flushing or temperature tasks are skipped, delayed, or incorrectly completed. Often used to escalate to higher management or compliance team.
 

Inspections & Maintenance Tasks

Role Description
Planner Assigns maintenance jobs (e.g., TMV servicing, inspections) and schedules engineers. Oversees timelines.
Designated Engineer Responsible for performing the actual maintenance tasks as scheduled.
Inform About Non-compliance Notified when maintenance tasks are overdue or completed incorrectly. Typically includes contract managers or duty holders.
 

Sampling Tasks

Role Description
Planner Schedules sampling based on the risk assessment and assigns roles.
Designated Sample Taker Takes water samples in the field. Their work is linked to lab IDs and sample types.
Person Entering Lab Results Inputs lab results once they are received. May be an internal user or external lab contact.
Legionella Consultant Reviews lab results, interprets findings, and advises on follow-up actions. May also trigger non-compliance workflows.
Inform About Non-compliance Gets notified if a sample is not taken on time or if results indicate a Legionella-positive finding.
Sign Off Non-compliance Person or role responsible for reviewing and formally signing off on non-compliance cases. Typically a senior consultant, safety officer, or building owner.
 

Notes

  • Each task can have multiple roles assigned—e.g. a user can be both sample taker and result enterer.

  • You can have multiple 1st and 2nd designated task performers.
  • Escalation logic ensures the 2nd designated or 2nd responsible is only activated when the 1st fails to act.

  • The "Inform about non-compliance" role is essential for real-time monitoring, alerts, and compliance logging.
